The Problem​

Black Country Healthcare NHS Foundation Trust (BCHNFT) was formed through a merger of multiple mental health services within the West Midlands region to better combine resources, strategies and workforce, enabling a streamlined mental health service offering across the region.

The trust utilised RiO across multiple sites but lacked harmonisation and synchronisation in processes around the system meaning the functional benefits of RiO were not yet realised.

BCHNFT required a team of Business Analysts to define the current ‘As Is’ processes, however, they did not have the in-house resource to undertake the work. Understanding the current state was essential for determining baseline for their harmonisation project.

The Work

BCHNFT favoured our Outcomes solution to deliver this piece of work which involved scoping the work and recommending various team structures to deliver it.

This approach gave BCHNFT a seamless transition from the planning phase to the execution, saving valuable time and risk to their organisation. With this method, we not only brought in the right expertise but also ensured that the Trust was comfortable and aligned with our strategy, fostering a collaborative and effective working relationship.

Due to the time sensitive nature of the project and recognising the significance of the team responsible, we completed video interviews with each of the prospective team members and submitted these along with our detailed proposal.

The Lead Business Analyst was brought in before the rest of the team and completed a scoping exercise. This helped them to get a rough understanding of how many teams were using RiO within the Trust that would later need to be met with by one of the Business Analysts. The team meticulously mapped the existing processes across various teams and services within the newly merged Trust. This comprehensive process mapping was key for any impending changes and enhancements utilising RiO going forward.

The Outcome

A dedicated team of Business Analysts successfully completed process maps for the services within the trust that fell within the defined scope. This process discovery exercise has given a clearer picture of the current landscape which will feed into the second phase of RiO optimisation.

Furthermore, the Lead Business Analyst conducted tailored training sessions for the existing team that will continue the work going forward, developing new skills and capabilities within the organisation and fully engaged with the project.
